A quotation states the price; the contract defines responsibility. Anything that affects the wedding day should not live only in a WhatsApp chat.
Make deliverables countable
State the service date, start and end times, locations, team size, equipment, deliverable quantity, format and delivery date. Avoid vague terms such as full day or basic décor.
Action checklist
- Name the photographer, stylist or emcee providing the service
- List package inclusions and exclusions
- Confirm transport, meals, teardown and overtime fees
Resolve the what-ifs
Ask what happens if the vendor is ill, weather disrupts the event, the venue changes date, restrictions apply or equipment fails—and the cost if either side cancels.
Action checklist
- Replacement staff should have equivalent experience and require approval
- State treatment of non-refundable deposits and remaining payments
- Match insurance responsibility to venue requirements
Create one record after signing
Keep the contract, receipts, payment due dates, final confirmation date and primary contact together. Confirm every change in an addendum or email.
Action checklist
- Do not place card or identity details in shared chats
- Complete a final confirmation with each vendor one month out
The one thing to remember
A good contract lets an uninvolved third party understand who does what, when, where, and what happens if plans fail.
